We are seeking a dynamic, experienced, conscientious and proactive individual to join us as:Admissions OfficerGeneral responsibilities and dutiesEnquiriesTo respond to all enquiries (telephone, email and walk-in) providing advice when necessary to prospective parents, ensuring that the school provides all applicants with the relevant and accurate informationTo gather data on all enquiries and input into the admissions databaseTo work with the Advancement and Communications Team to produce and distribute admissions documentation and the School ProspectusesTo maintain contact with enquirers inviting them to relevant school eventsTo ensure all admissions paperwork, for example, online applications, standard emails, are up‐to‐dateTo arrange meetings with the Admissions Manager or Admissions Director for prospective parents – if requiredPre-admissionsProcessing online applications as quickly as possible - included pull-through of details from application portal onto the application database, creation of a prospective pupil fileEnsuring that all applications are completed in full – including all supporting documentationRequesting references from the pupil’s current school, if requiredKeeping prospective pupil files up‐to‐dateArranging and leading on-site visits for prospective students/parentsMeet and conduct school tour with prospective parents/students to articulate on the School’s admissions philosophy, capacity, admission priorities and admission timeline, mission statement etcEnsure that all policies relating to admissions are clearly articulated and followed, working with the Admissions Manager to update these, as requiredProvide counsel about and to maintain the admissions section on the school’s websiteOversee the maintenance of paper and electronic student admissions databaseTo communicate all financial aspects related to enrolment into the schoolGenerate reports for communications and analysis, as requiredSupervise and train other support staff when necessaryTo schedule and administer Admissions Tests, as per testing policyTo liaise with the SLT (Senior Leadership Team) for Admissions Interviews – ensuring that all Admissions Test data is completed and availableTo contact all parents after the completion of the application process, to confirm the school’s decision on admission.AdmissionsOnce students is offered a place, to manage the enrolment process from start to finish, including student files and admissions pool at all grade levelsKeeping admissions statistics up‐to‐date and submit to the Admissions Manager/Admissions DirectorCommunicate details about all newly enrolled students to all required members of the teamWork with the Assistant Principals Timetable Manager, Math & Language coordinators to ensure that all students are registered for the correct subject options and levels (Grades 7 to 12) and placed in the correct classes (Prep 1 to Grade 6).Ensure that all new students have a pupil fileResponsible for the process of obtaining Student Passes for overseas students via the ICA Solar+ platformConfirm student placements, referring relevant issues to the Admissions ManagerLiaise with the Finance Office on all matters pertaining to fee payments for newly enrolled familiesContact families in the admissions pool if places become availableWhere applicable within the role to work with the schools management information system (SIMS and iSAMS).To act as a liaison between international boarding students and the Boarding hostel with regards to flights, student pass applications and other school detailsTo facilitate Ministry of Education Language Exemption applications, as required.Ensure that the CPE/EduTrust guidelines are being adhered to at all times.Student WithdrawalsResponsible for the student withdrawal process including the collating of student withdrawal information – includes informing all relevant team members, as soon as possibleTo cancel Student Passes for leaving students – if requiredCoordinating referencesEventsAssist in the organisation of Admissions Events, including the Open House, scholarship information events and others for prospective students/parents - in conjunction with the Admissions team and key stakeholders.Attending other school wide events for information gathering, or to have an Admissions Dept presence (e.g. Elementary School PTC’s).ScholarshipsSupport the High School Scholarship Programme, as required including organising events, assisting with testing and marketing of the programme.Any other duties assigned by the Admissions Manager or Director ACA.DisclaimerThe above statements are intended to describe the general nature and level of work being performed by people assigned to his classification.
